Market Day Operations
SETUP & BREAKDOWN TIMELINE SUMMARY
- 5:00 - 7:30 a.m.: Load in.
- 7:30 a.m.: Entry barricade close.
- 7:45 a.m.: Exit barricades close.
- 8:00 a.m.: Market opens.
- 1:00 p.m.: Market closes and vendors begin breakdown.
- 1:15 p.m.: Entry barricades open
ARRIVAL
- Vendors may arrive at their assigned booth space as early as 5:00 a.m. At 7:30 a.m., entrance barricades will close and vehicles will not be permitted to enter the market. At no time should a vendor remove any barricades, fencing, or cones that the city has placed in order to gain access to booth space.
- Vendors may not park on curbs, drive over sidewalks and/or medians to enter or exit The Gardens GreenMarket site.
- Vehicles may not back into market site unless they are assigned to space number 23, 43, 71, 88, 89, 130, or 133.
- If a vendor needs to request an adjustment for the load-in & breakdown procedure, the vendor must send email notification to Market Management for review and approval prior to season start date. Changes to market requests after vendor has received a market acceptance email will be difficult to accommodate and may result in that vendor’s application status moving from ‘approved’ to ‘interest list’.Requested adjustments are not guaranteed, regardless of past participation.
SETUP
- Vendors are expected to always drive slowly and carefully and follow the traffic flow indicated on the site map.
- Vendors must unload their products and booth infrastructure in their space, park their vehicle, and then return to unpack their products and set up booth space.
- Vendors may not set up their tent(s) & tables until they have parked their vehicle.
- All vehicles must clear the market site by 7:45 a.m.
- Vendors must be open and ready for business by 8:00 a.m. Aisles must be kept clear for access.
BOOTH SPACE
Vendors are sent a site map with their booth assignment before each approved Sunday. Each space is labeled with a booth number and are approximately 10’x 10’. Vendors must be able to display their products within the assigned space.
GARBAGE
Vendors are responsible for cleaning up and taking home all debris/garbage generated by their operation.
BREAKDOWN
Booth setups must be completely broken down before vendor vehicles can enter the market site for load out. This means all items must be packed up, table(s) broken down, tent(s) broken down and ready to be immediately loaded into your vehicle.
DEPARTURE
- At 1:15 p.m., vehicles will be allowed to enter the market, but only after the safety barricades at the market entrances/exits have been removed by Market Staff.
- Venders are to line up in front of the City Hall building no earlier than 1:00 p.m. Please note that vehicles cannot line up on Military Trail.
- Vehicles may not back into market site unless they are assigned to space number 23, 43, 71, 88, 89, 130, or 133.
DURING MARKET HOURS
- Vendors must remain open with full booth setup in place, even if inventory is sold out, until the market closes at 1:00 p.m.
- No late set-ups/early breakdowns allowed.
- Hawking is not allowed.
- The use of amplified systems/stereos/radios is prohibited.
SUPPLIES
Vendors are responsible for their equipment including, but not limited to, tables, tents, weights, chairs, extension cords, ice, signage, etc. The City of Palm Beach Gardens does not provide and is not responsible for the set-up/breakdown of any vendors. Please note that the following ordinance applies to The Gardens GreenMarket all year round:
- 78-284 Prohibited signs and prohibited sign locations: Bunting, pennants, streamers, and other similar signs or devices normally but not always installed in a series, designed to move with the wind, and usually attached to buildings, trees, ropes, poles, and similar structures.
TENTS
Vendors must agree to have a 10x10 tent in good condition and their booth space frontage should be consistently lined up with neighboring vendors along the rows. The following are to be considered:
- Tents with slanted legs are not allowed. As they impede neighboring vendor’s space.
- Tying tents to tables, coolers, etc. is prohibited.
- Tents must have a minimum of 20 lbs. on each corner, regardless of weather.
- Example: 4 tent legs x 20 lbs. = 80 lbs. minimum. 8 tent legs x 20 lbs. = 160 lbs. minimum.
TRAFFIC FLOW
Vendors will receive a copy of the site map in the weekly email. Vendors must follow the one-way traffic to enter the market. Vehicles cannot line up on Military Trail at the close of the market.
VENDOR PARKING
- Vendor and vendor staff vehicles are to be moved to the Palm Beach Orthopedic Institute (PBOI), 4215 Burns Road, Palm Beach Gardens, FL.
- City staff have the right to ask vendors, and their staff, to move their vehicles if they are park at City Hall, or Gardens Park.
- Please understand that parking in a closer space to the market site makes it difficult for patrons to access the market.
