Addressing Issues with Submitted Files
If staff have determined that either a file is missing from the original application, or an issue needs to be corrected with an originally submitted file, you will receive an email stating that file changes are required with your case. Follow the steps below to address those problems.
Accessing Correction InformationThe first four steps explain how to use the email received for determining what how to correct the originally submitted files with your application. You can just as easily skip this step if you are ready to resubmit now. Comments can also be found during the resubmittal process. | |
| 1. An email will auto-generate from the system informing of file changes required with your application. Follow the email’s instructions for accessing the record. | |
2. If accessing the record from the Civic Access home page, first access the record. Then, under the Summary tab, scroll down to the Action section and click the link for the Review under the Details section for the action labeled "Files Available for Resubmit." **NOTE: if you click the email link, skip to the next step** | |
| 3. Select the Reviews tab. | |
| 4. Review staff comments associated with review under each of the corrections provided on this page. | |
Modify File(s)This section outlines the steps necessary for uploading corrections to an originally submitted file. The first step picks up where the last section left off. | |
| 1. Make any necessary adjustments to documents city staff is requiring and when ready to respond, click the Resubmit button in the top right of this screen. | |
| 2. On the Reviews steps, click Respond to each staff comment. | |
| 3. In the Respond window, enter your response and click Add. | |
| 4. Click Next. | |
| 5. From the Select files screen, click the Upload link next to each file listed that staff is requiring a resubmittal for. | |
| 6. Select the file that in the pop out screen and click Open. | |
| 7. Click Next on the Select files screen. | |
| 8. Review information provided in the Resubmit Files wizard. | |
| 9. Click Submit. | |
| 10. If all steps were completed correctly, a success message should be displayed. | |
Missing File(s)When corrections located on the Reviews tab points to a file missing, perform the following steps to upload that file for staff review. NOTE: when a missing file is requested to be uploaded, you must click the link in the email or select the Files tab on your Civic Access record to access the review screen. An action under the Summary screen will not be available. | |
| 1. Select the Files (or Files & Reviews) tab of the record. | |
| 2. Under the Files section, select Add Files. | |
| 3. Scroll down and find the file type that aligns with the file being uploaded to the record and Click the Add File link. | |
| 4. Navigate to the file requested by staff and select Open. | |
| 5. Click Add. | |
| 6. The uploaded file should be located under the Files section. Staff now has the information they need to process the resubmittal. Wait for further instruction before proceeding. | |
